Is my client data secure?

Yes. Connections use each platform's official OAuth — we never store your passwords — and data is encrypted in transit and at rest. You can revoke any connection at any time.

Can I cancel anytime?

Absolutely. Plans are month-to-month (or annual if you prefer). Cancel from your dashboard whenever you like — no lock-in, no cancellation fees.

Is it genuinely white-label?

Completely. Your logo, colours and sending domain appear on every report and cover email. Your clients see your brand — never ours.

Which integrations are supported?

GA4, Google Search Console, Meta (Facebook & Instagram) Ads & Pages, GoHighLevel, MorningScore and Stripe — with more added regularly. On Scale we'll build custom integrations on request.

How does billing work?

Plans are tiered by the number of client reports you send each month, billed securely via Stripe. Choose monthly or annual (annual gives you two months free), and upgrade or downgrade whenever your book changes.

Who we are

Report Builder AI is a reporting tool for marketing agencies. This policy explains what we do with the information you and your clients put into it.

We are the data controller for the account details of the agencies who sign up. We are a data processor for the marketing data an agency connects about its own clients — the agency decides what that data is used for, and we only process it to produce the reports the agency asks for.

What we collect

From the agency that signs up:

Your name, email address and profile image, given to us by Google when you sign in. Signing in is Google-only — we never see or store a password.
Your agency name, logo, brand colours, report styling and custom domain.
Team invitations: the email address invited, and who invited it.
Your subscription status. Card details are handled by Stripe and never reach our servers.

About your clients, entered by you: client name, contact name, contact email, website, industry, and any notes you write.

From the platforms you connect: the access tokens that let us read the account, and the performance figures we pull to build the report — sessions, users, conversions, search impressions and clicks, ad spend, leads, keyword rankings and similar. We keep dated snapshots of these so month-on-month comparisons work.

We do not want special category data — health, ethnicity, political opinions and so on. Please do not put any into the notes field.

What we do with it

Build, style and deliver the reports you ask for.
Send you team invitations and the reports themselves.
Keep your account secure and support you when something breaks.
Bill you for your subscription.

We do not sell your data. We do not use it to advertise to you or anyone else. We do not use it, or your clients’ data, to train any AI model.

The written commentary in your reports

The plain-English commentary in a Report Builder AI report is written by our own software from your figures, using fixed templates. No client data is sent to ChatGPT, or to any other third-party AI service, to produce it. The same figures always produce the same words.

Who else touches your data

We use a small number of suppliers to run the service:

Vercel — hosting, the application database, and storage for logos and generated report PDFs.
Postmark — sends our email: sign-in links, invitations and report delivery.
Stripe — takes subscription payments.

Platforms we read from, only after you connect them, and which have their own privacy policies: Google Analytics 4, Google Search Console, Meta, GoHighLevel, MorningScore and Reporting Ninja.

Where a supplier processes data outside the UK or the EEA, that transfer relies on the Standard Contractual Clauses in our agreement with them.

Google user data

Report Builder AI’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

We use Google Analytics and Search Console data only to show that data back to you inside Report Builder AI and in the reports you generate. We do not transfer it to anyone else except as needed to provide that service, we do not use it for advertising, and no human reads it except where you ask us to in support, or where the law requires it.

You can disconnect us at any time from the Integrations screen in the app, or from your Google account permissions page.

How long we keep it

Account and agency records: while your account is open, then up to 90 days after you close it.
Report data and performance snapshots: up to 24 months.
Access tokens for connected platforms: deleted when you disconnect the platform or close your account.
Invoices and billing records: as long as tax law requires.

Security

Data is encrypted in transit, and encrypted at rest by our hosting provider. Passwords are hashed. Access tokens are stored in the application database and are never shown back to you or included in a report. Only the people you invite to your agency can see your data, plus us for support and maintenance.

Cookies

We use only what the app needs to work: a sign-in session cookie, and the security tokens that stop someone forging a request as you. We do not run advertising or tracking cookies.

Your rights

You can ask us for a copy of your data, ask us to correct it or delete it, ask us to restrict what we do with it, or object to it. Write to hello@seanbeardmore.com and we will answer within one month.

If we hold information about you because an agency using Report Builder AI put it there, please ask that agency first — they decide what happens to it. If you cannot reach them, tell us and we will help.

If you are unhappy with how we have handled your data, you can complain to your local data protection authority.

Changes to this policy

If we change this policy we will update the date at the top, and for anything significant we will email account holders.
